STAFF POLICY AGREEMENT

1. Work Hours, Attendance & Salary

  • Operating Hours: Daily from 8:00 AM to 7:30 PM. Staff must arrive promptly to prepare the shop before opening.
  • Days Off: 1 day off per week, subject to prior mutual agreement between staff and management.
  • Lateness & Absence Penalties: Attendance is strictly monitored. Fines are automatically deducted from monthly salaries:
    • Late Arrival (After 8:00 AM): ₦1,000 fine per occurrence.
    • Unexcused Absence (Not showing up): ₦2,000 fine per occurrence.
    • Emergency absences require notice at least 4 hours before opening.
  • Payment Schedule: Salaries are disbursed monthly between the 1st and 5th of every month, with an itemized breakdown of any valid fine deductions.

2. Cash Register & POS Accuracy

  • Transaction Recording: Every sale—whether paid in Cash, POS card transaction, or Bank Transfer—must be entered into the sales system immediately at the time of purchase. Issuing unrecorded goods is strictly prohibited.
  • POS & Transfer Verification: Staff must verify that a POS receipt prints “APPROVED” or that a Bank Transfer is fully credited and confirmed on the official company notification device before releasing goods to the customer. Fake transfers or unapproved POS slips are the financial responsibility of the staff on duty.
  • Reconciliation & Balances: Cash drawers and POS/transfer receipts must be reconciled at the end of every shift. Any cash shortages, unverified transfers, or unaccounted register discrepancies will be deducted directly from the responsible staff’s salary.

3. Dress Code, Hygiene & Cross-Contamination

  • Uniform & Apparel: Clean aprons, non-slip rubber footwears, and hairnets/caps must be worn at all times on the shop floor.
  • Personal Grooming: Nails must be trimmed and clean. No artificial nails or loose jewelry allowed during handling.
  • Sanitation Practices: Hands must be thoroughly washed and sanitized before handling meat, after restroom use, and after handling money or waste.
  • Separation of Goods: Poultry, seafood, beef, and other meats must be kept strictly separated on cutting surfaces and storage units to avoid cross-contamination.
  • Health Reporting: Staff with communicable illnesses, skin infections, or open wounds are strictly prohibited from directly handling uncontained meat.

4. Cold Chain Management & Equipment Safety

  • Freezer Protocols: Storage temperatures must be strictly maintained (freezers at/below -18°C; chillers between 0°C and 4°C). Doors and lids must not be left open unnecessarily. Staff must not sit down or lie down on top of the freezers.
  • Power Outages: In the event of a power outage, staff must switch to generator/solar power after 6 hours of non-restoration of public power supply as trained to prevent thawing. Re-freezing fully thawed meat intended for retail is strictly prohibited.
  • Equipment Use & Safety: Cut-resistant gloves must be worn when operating bone saws, knives, or grinders. Any equipment fault must be reported to management immediately; neglect in reporting makes the staff on duty liable for resulting stock spoilage. Daily end-of-day cleaning and sanitizing of equipment is mandatory.

5. Personal Device Use & Work Conduct

  • Mobile Phone Usage: Personal mobile phones, smartwatches, and headsets/earbuds are not permitted on the retail floor or processing area during operating hours. Personal phones must be kept in designated staff lockers/bags.
  • Allowed Communications: Phones may only be accessed during assigned lunch or official breaks, or in the case of genuine personal emergencies with manager approval.
  • Distraction-Free Environment: Browsing social media, making video calls, watching videos, or playing games during working hours is strictly prohibited and subject to disciplinary warnings or fines.

6. Stock Rotation, Inventory & Audits

  • FIFO Principle: First-In, First-Out must be strictly practiced. Older stock moves to the front for immediate sale.
  • Inspection: Daily checks for freezer burn, packaging leaks, or spoilage are required. Damaged stock must be recorded in the waste log—never sold to customers.
  • Accountability & Audits: Daily physical stock counts occur at opening and closing. Discrepancies between physical stock and system records will be investigated immediately.

7. Theft, CCTV Surveillance & Zero Tolerance

  • CCTV Monitoring: The shop, storage facilities, and sales floor are under 24/7 continuous video surveillance.
  • Theft & Fraud Policy: Theft of meat, funds, equipment, giving unauthorized discounts, or taking goods without payment carries a zero-tolerance policy. Any occurrence results in immediate termination, forfeiture of pending pay, and referral to law enforcement.

8. Non-Disclosure & Confidentiality

  • Protection of Information: Staff shall not disclose or share any company business information, supplier contact details, cost prices, wholesale rates, sales data, customer databases, or internal operational processes with third parties or competitors.
  • Duration: Confidentiality obligations remain binding during and after the termination of employment.

9. Resignation & Notice Period

  • Exit Terms: Staff wishing to resign must give a minimum of 2 weeks written notice. Failure to provide adequate notice will result in the forfeiture of final pending wage payments or bonuses.
